Information for Parents & Carers - AP

We understand that starting Alternative Provision can feel unfamiliar or worrying for children and families. This page provides practical information to help parents and carers understand what to expect and how we support pupils during their time with us.

What a typical session looks like

Sessions are structured, predictable and adapted to meet the needs of each child or young person. We place a strong emphasis on helping pupils feel safe and settled before expecting engagement with activities.

• A calm arrival and check-in
• Clear routines and expectations
• A balance of practical, outdoor and structured activities
• Opportunities for breaks and regulation
• Support from familiar, consistent staff

What children must wear and bring

Alternative Provision at Yew Tree Farm School takes place outdoors in all weathers. To ensure children are safe, comfortable and able to take part fully, the items listed below are essential for every session.

Clothing (required for all sessions)

• Waterproof coat and waterproof trousers (must be brought every day)
• Comfortable clothing suitable for outdoor, practical activities
• Sturdy footwear (e.g. wellington boots or trainers)

Seasonal requirements

During colder weather:

• Warm layers
• Hat and gloves

 

During warmer weather:

• Sun hat
• Sun cream (applied before arrival where appropriate)

 

Spare clothing (required)

• A full change of spare clothes

Children may get wet or muddy during sessions, and spare clothing is required so they can remain comfortable for the rest of the day.

Food and drink

• A drink bottle
• A packed lunch
• Plenty of snacks

A school lunch can be provided if preferred; however, children must still bring snacks each day.

Behaviour, boundaries and support

At Yew Tree Farm School, we understand that behaviour is a form of communication. Our approach is supportive and relational, with a strong emphasis on helping children feel safe, regulated and understood.

Clear boundaries and expectations are in place to ensure the safety of all pupils and staff, particularly within an outdoor and farm-based environment. Support strategies are individualised, and we work closely with parents, carers and professionals to provide consistency.

Communication and feedback

We recognise the importance of clear communication with parents and carers. We aim to keep families informed about how sessions are going and to share relevant information in a timely and appropriate way.

Following each 1:1 Alternative Provision session, parents and carers are able to access a session report via Tapestry. This report includes photographs from the session, a written summary of activities and engagement, and information about targets and next steps.

Communication may also include planned reviews or contact with commissioning professionals where appropriate. We encourage parents and carers to raise any questions or concerns so that they can be addressed collaboratively.

Safeguarding and wellbeing

Safeguarding and wellbeing are central to all Alternative Provision at Yew Tree Farm School. We are committed to providing a safe, supportive environment where children and young people feel secure, respected and cared for.

Staff are trained in safeguarding procedures and work closely with school leaders to ensure that concerns are identified and responded to appropriately. The safety and wellbeing of pupils is always prioritised, particularly within outdoor and farm-based activities.
